How to create a folder structure for your business

1. Choose your industry

Select from 12 industry templates built from how real businesses organize work. Each template includes folder names, numbered prefixes for sort order, and _Template folders for repeatable structures like client projects or legal matters.

2. Scale to your team size

Solo freelancers get a lean 15-folder structure. Small teams get 25-40 folders with templates and shared resources. Departments get 40-70 with compliance and governance. Enterprise gets 70+ with regional splits and retention policies.

3. Download and deploy

Copy the ASCII text outline to your team wiki or Notion. Download as a .txt file. Or download as a ZIP with empty folders — drag the extracted folder straight into Google Drive, Dropbox, SharePoint, or any cloud storage.

Folder structure best practices

01

Number your top-level folders

Use 01 - Clients, 02 - Internal, 03 - Finance to control sort order. Without numbers, folders sort alphabetically and "Archive" ends up above "Active Projects."

02

Use template folders with underscores

A folder named _Client Template (with underscore prefix) sorts to the top and signals "copy this for new clients." Every template in this tool follows this pattern.

03

Keep depth under 5 levels

Deeply nested folders are hard to navigate and cause path length issues on Windows and SharePoint. These templates max out at 5 levels — enough structure without buried folders.

04

Archive instead of delete

Move completed projects to an Archive/YYYY folder instead of deleting. You'll need old files eventually — for audits, references, or disputes.

Auto-sort files into your new folder structure

You built the structure. Renamed.to watches your folders and files incoming documents into the right place automatically — invoices to Finance, contracts to the right client folder, photos to the right project. Works with Google Drive, Dropbox, and desktop uploads.

Frequently asked questions

What folder structure should I use for my business?

It depends on your industry and team size. This generator provides templates for 12 industries based on how real professionals organize work. Select your industry and team size to get a starting point, then customize from there.

Can I customize the generated folder structure?

The generated structure is a starting point. Download it as a ZIP and add, remove, or rename folders to fit your specific needs. The text export is also editable before sharing.

Does the ZIP work with Google Drive, Dropbox, and SharePoint?

Yes. Extract the ZIP on your computer, then drag the folder into your cloud storage. The tool also warns about platform-specific limitations like SharePoint's 400-character path limit and Google Drive's 20-level nesting limit.

Why do some folders have README.md files?

README files explain what goes in each folder — useful when onboarding new team members. Delete them if you don't need them. The root README includes the full folder tree for reference.

Is this tool free?

Yes. The folder structure generator is free with no signup required. Copy as text and download as .txt are completely ungated. The ZIP download is also free.
